In our rapidly evolving technological landscape, organizations must stay abreast of the latest developments in information sharing, gathering, and distribution. Many, however, remain reluctant or overwhelmed by the magnitude of the change required to modernize their operations. This post details my journey in transforming the information and documentation management practices of a company entrenched in outdated methodologies and reveals the challenges and rewards of leading organizational change.
The Journey Begins
I embarked on a mission to revitalize the company’s approach to information management, leading them to document all of their procedures and secure them in a well-structured repository. This journey involved developing structured document templates, writing policies supporting the development, storage, and review processes, writing and managing over 400 standard operating procedures.
The transition was groundbreaking for a company previously riddled with federally mandated manuals that, without the guidance of a technical communicator, ended up years out of date.
Challenges and Solutions
The transformation, while seemingly effortless, was fraught with challenges. The organization had to be convinced of the value in managing their critical documentation securely and locally, and the necessity of an annual review process, which I semi-automated using available tools.
Strategies for Change

- Educational Workshops: Offering training sessions to educate employees on modern documentation and knowledge management methodologies.

- Seeking External Validation: Inviting external experts to validate and lend credibility to the proposed modern approaches.
- Empowering Teams: Providing training and resources to maintain and improve the documentation system and fostering a culture of continuous learning and improvement.
- Creating Advocates: Identifying internal advocates to promote advanced information management practices.
Personal Reflection and The Road Ahead
While the transformation within this company felt revolutionary, the advancements made barely scratched the surface of the technological developments in the greater technical communications world. I attempted to introduce more modern topic-based content and single-source tools but was met with resistance.
Despite the resistance, I maintain hope and am poised to continue advocating for advancement in documentation and information sharing techniques and tools. Whether it’s staying engaged as a consultant or advisor, my journey with this company has reinforced my commitment to continuous learning, adaptability, and resilience in the face of technological reluctance.
So Now What?
Navigating information evolution in a technologically backward environment is a journey filled with challenges, learning, and immense growth opportunities. It requires a combination of resilience, innovation, adaptability, and a deep understanding of the transformative power of modern information management practices.
Even if the advancements seem minuscule in the broader spectrum, the impact of leading transformative change in such environments is a testament to one’s capability to bring about significant positive change. It is not the technological prowess that counts but the ability to adapt and create impactful solutions with available resources.
This journey has been a reminder that every step taken towards modernization, no matter how small it may seem, is a step in the right direction, paving the way for a future where information is managed, shared, and utilized to its full potential.
